Avoiding escalation by assumption
Long silences and unclear status messages can be upsetting, but a case record is stronger when it separates uncertainty from established facts. Write what you requested, what you received and what is missing. Reserve explanations about motives for evidence that actually supports them.
A practical checklist
- Use dates instead of words such as always.
- Distinguish no reply from an unsatisfactory reply.
- Keep accusations out of factual chronology.
Putting it in context
No response to three dated messages is a precise observation. A claim that every customer is ignored requires a different and much broader evidence base.
Keep in mind
Neutral wording does not minimise a problem; it makes the problem easier to assess.
